Streamline the Management Process


One of the goals of the board ought to be to make it as easy as possible for owners to find and follow the rules, to submit concerns and requests to the board and to make payments.

How Owners Pay


With convenience of the owners in mind, the board should consider what forms of payment it can accept: Cash, Check, credit/debit, bank deposit (lock box), ACH, and whether to offer website assistance and explanation. Providing information via a website will reduce the time spent on communicating with owners.

How Owners Contact the Association Leaders


A second important consideration is how owners communicate with the board, officers and managers. There should be a physical location to drop notes and packages, a telephone number, mailing address, email address, and perhaps a website control page. The easiest way to provide rules and other important information is by maintaining a website providing such materials.

How To Obtain Service


Finally, it is important that there be a clear procedure for communicating maintenance requests, notices, complaints and compliments. For maintenance, the rules or an appendix should detail the approval process, the dispute process, and status updates.

It might also be helpful to have a list of community events or a calendar posted somewhere to keep owners informed.
